Insta conference service is an outbound audio conference solution. This is a Value Added Service, which is offered at Zero Rental and pay per use charges. By dialing a single number, from their registered phone, TTSL subscribers will be able to simultaneously reach a group of pre-defined users. This service is offered to Indicom mobile, Landline, Walky, Walky 10 and Docomo postpaid connections.

1. Product Information

  1. What is Insta Conference?
    Insta Conference refers to an impromptu audio conference with a pre-established group of people. The Insta Conference subscriber initiates an Insta Conference by calling a pre-assigned number. The Insta Conference server then makes outbound calls towards each of the participants. As participants answer, they are placed into a conference with the subscriber.

  2. How do I set up an Insta Conference?
    Log in to the Insta Conference portal with the credentials provided to you in your welcome letter. Next, click on Users and enter the name and phone number of your fellow participants. You can place your participants into one or more frequently called ‘Groups’ by clicking on the ‘Groups’ link. Next, click on Insta Conference link to set up your Insta Conference. The system will automatically assign a dial-in number, besides unique Activation and Participant PINs for each conference.

  3. How do I initiate my Insta Conference?
    This can be done in either of the following ways:
    1. Call the dial in number assigned to the specific conference that you wish to initiate, from your Tata phone, and the bridge dials out the corresponding participants.
    2. Call the dial in number assigned to the specific conference that you wish to initiate, from any other phone followed by the corresponding Activation PIN and “#” (hash), in order to initiate the conference.

  4. Can I initiate an Insta Conference from a non-TTL phone?
    Yes, you can initiate an Insta Conference from any other landline or cellular phone from any part of the globe. In that case, you will be asked to enter your Activation PIN. Please enter that PIN followed by “#” (Hash). That will initiate the out bound calls towards your participants, including your registered Tata phone. You may choose to disconnect the incoming call on your registered number. This feature also helps if someone else initiates a call on your behalf, and you are also required to be on the call.

  5. Do the participants receive a call from the same number every time?
    Yes, the participants will always receive a call from 0124-6791400.

  6. What if one of the participants is also a subscriber of Insta Conference? How does he join an ongoing conference? Will his Insta Conference get triggered if he dials in to the bridge
    An Insta Conference subscriber can also dial in to another subscriber’s ongoing conference by dialling the number 0124-6791400, followed by the corresponding PIN. He can also log in with the Moderator / Activation PIN, provided the moderator wishes to provide him a moderator access.
    This action will not trigger any Insta Conference. Only when a subscriber dials a number in the range 0124-6791401 -- 0124-6791430, and the number has been assigned to his Insta Conference, the bridge dials out.

  7. Why does my registered number get dialled out when I initiate the conference from any other phone?
    This feature has been designed keeping in mind the security concerns and to warn a registered user in case there is any unauthorised usage.

  8. Can I change my Activation or Participant PIN?
    Yes. You may change your PINs by clicking the "Reset PINs" button. You should keep a list of your PINs with you, in case you need to initiate a conference from another phone while you do not have access to internet.

  9. Are Activation and Participant PINs unique?
    Yes, the Insta Conference server assigns unique Activation and Participant PINs to each Insta Conference.

  10. What if I forget my PINs?
    You can login to your Insta Conference account anytime and view the PINs corresponding to each of the conferences.

  11. What is significance of Name while defining an Insta Conference?
    By assigning a name to each Insta Conference, you will be able to identify them easily and also see corresponding reports.

  12. What does Ad Hoc user mean?
    An Ad Hoc user is the one that is added on-the-fly while creating an Insta Conference, as opposed to first creating a User on the User’s page.

  13. Are my Ad Hoc Users available permanently in the defined Insta Conference?
    Yes, the system remembers Ad Hoc users permanently.

  14. Is first name and last name mandatory for Ad Hoc users?
    No, only one of them is mandatory. These will make it easier for you to keep track of his/her participants.

  15. What is a Dial-in number?
    The Dial-in number is the number you dial to initiate your Insta Conference. If dialled from the registered Tata number, it instantly triggers the corresponding conference and when dialled from any other number, it prompts for a PIN.

  16. Do I need to dial different dial-in numbers for different Insta Conferences?
    Yes, each Insta Conference is assigned a separate dial-in number.
    This is the key feature which facilitates PIN less conference initiation.

  17. How many Insta Conferences can I have in my account?
    Each subscriber can have up to 30 Insta Conferences in one account.

  18. Can I initiate my Insta Conference using another Insta Conference subscriber’s Tata Phone? How? Will it not initiate his Insta Conference?
    Yes, you can dial 0124-6791400 from any phone, including another Insta Conference subscriber’s registered Tata phone, followed by the Activation PIN corresponding to the conference that you wish to initiate, and the bridge will dial out to the desired group.
    However, if you use another Insta Conference subscriber’s registered Tata phone and call the dial in number assigned to your Insta Conference, there are the following 2 possibilities:
    1. If that number is also assigned to one of the subscriber’s Insta Conferences, the bridge will dial out to his/her group and not yours.
    2. If that number is not assigned to any of the subscriber’s Insta Conferences, you will hear a prompt asking you to enter a PIN.

  19. What is Activation PIN?
    An Activation PIN is assigned to the Insta Conference when it is created. If a subscriber dials the dial-in number from his/her subscribed phone, Activation PIN is NOT required. If the subscriber dials the dial-in number from any other phone, he/she will be prompted to enter the Activation PIN to initiate an Insta Conference.

  20. What is a User PIN?
    The subscriber can provide the dial in number and the User PIN to a third party who may or may not be part of subscriber’s Insta Conference group. If the person being dialled was unable to pick up the call, that person can dial the dial-in number and enter the User PIN to join the on-going Insta Conference.

  21. How do I know if Insta Conference has been configured correctly?
    It will get added to the list of Insta Conferences with user and group details. You can verify or recheck anytime.

  22. Can I have Insta Conference call with my office outside India? How?
    You will not be able to dial out international number using the conference solution. However, Participants from outside India can also call into the bridge to be part of an ongoing conference. You can also add an international number to an Insta Conference by using the 3 way conference facility on your phone, provided you have International dial out service active.

  23. Will my participants be charged for call they made or received?
    A participant receiving a call from the bridge will not be charged while he is at his home location, since incoming calls are not charged by any service provider in India. However, in case the recipient is on roaming, the roaming charges will be applicable. If a participant dials in to the bridge, he will have to bear the call charges as per his subscription with the respective service provider.

  24. If I am not able to initiate a conference from my phone, what do I do?
    Check if you are dialling the current dial-in number and activation PIN (if trying from a phone other than the subscriber number).
    You can also start conference using Real View option, if you are online.
    If it still doesn’t work, please contact TTL helpdesk on 121 / 1515.

  25. If my participants are not able to join the conference what do I do?
    Please ensure that you have configured correct 10 digit phone number. For e.g. syntax for configuring landline number would be city code (22 for Mumbai, 11 for Delhi, etc.) followed by landline number. For mobile number directly enter the 10 digit mobile number. Please note that a leading ‘0’ should not be entered.
    In case Participants are dialling in please ensure that they are dialling the correct number and are entering the prescribed “User PIN” followed by #. If there is still an issue, please contact TTL helpdesk on 121 / 1515 from your Tata phone.

  26. Browser and website security related issue

    All the latest versions of the following browsers, which have the latest security patches installed, are supported:
    1. Internet Explorer (IE8, IE7)
    2. Chrome
    3. Safari
    However, when using older versions of browsers, the user may see a warning asking the user to continue with the website at their own risk. In case of internet explorer, the warning message will show as follows:
    If such warning is displayed, the user is requested to proceed by clicking “Continue with the website” as there is no threat to the user’s system and he will be directed to the Insta Conference secure login page.

2. Monitoring Insta Conference

  1. How can I check who all have joined the conference call?
    Click on a link named Real View. Here you will be able to see all the participants that are in the conference.

  2. How do I mute participants in call?
    There are two ways. If you are online, it can be done using “Real View” portal. You can click on ‘mute’ button in a given row to mute that participant. You can alternatively ask an individual to enter 11# on their phone to mute themselves. Similarly, you can un-mute a person from the Real View portal or ask that individual to press 22# on his/her phone. A list of all in-conference controls is provided on the ‘Help’ link on the Insta Conference page. When using Real View, remember to click on the ‘update’ button.

  3. How do I drop a participant from a conference call?
    Click on Real View and then identify the particular individual you would like to drop and then press the ‘disconnect’ button. When using Real View, remember to click on the ‘update’ button.

  4. How do I add another participant in ongoing conference call?
    Only a moderator (person who entered the Activation PIN) has the ability to invite additional people into an ongoing conference. Press 31#. You will hear a dial tone. Enter the called party number followed by #. After speaking with the person at far end, enter 32# to bring both, yourself and the invited party into the conference. If the far end party is unreachable or does not want to join the conference, press 33# to drop the participant and get back in the conference.

  5. If I hang up the call, will my participants be still connected in call?
    If you hang up and do not dial back in within two minutes, the entire conference will be dropped. This feature is designed keeping in mind that you would not want the conference to be disrupted, in case you get dropped due to network / mobile related issues.

3. Users

  1. How many users I can define in my account?
    There is no limit defined in the system.

  2. How many users can be associated with one Insta Conference?
    For each Insta Conference you can have a maximum of 120 users, including yourself. The same is, however, subject to availability of the required ports at the time of conference initiation.

  3. How do I create a user?
    Click on Users link, next click on ADD and then fill out the form that you see.

  4. How do I delete a user from a group?
    Click on Groups, click on Edit on the group the user is associated with, next using CTRL + Left Click un-highlight the user, then press Submit.

  5. How do I delete the users from all groups?
    Click on Users, Check the user or users you want to delete, press on the Delete button on top. The users will be removed from all associated groups.

4. Groups

  1. How many groups can I define on Insta Conference?
    There is no limit.

  2. How do I create groups?
    Click on Groups link, next click on ADD and then select the users (press CTRL + Left Click) from the list.

  3. How do I delete a group?
    Click on Groups; check the field for the group you want to delete then press the Delete button on the top.

  4. How do I edit my group?
    Click on Groups, click on Edit on the group that you want to edit.

  5. Can I edit the group during the conference call? And will these changes be applicable for ongoing conference call?
    Yes, you can edit the users or the groups any time you want. The changes will not affect the ongoing conference.

5. Reports

  1. What type(s) of reports are available for me?
    Click on the Reports link. This page shows a list of Insta Conferences that are in use. The ‘name’ field shows the name of the particular Insta Conference. You can also see when it was last used. The ‘Details’ link will take you to a excel spread sheet that will show conference details at participant level.

  2. Will I be able to see my conference finished a min ago in report?
    You will be able to see your report within 10 minutes after the last person left the conference.

  3. Can I download the report?
    Yes, you can download the excel sheet to your local hard drive.

  4. How many days(s) reports are available on portal?
    The report shall be available under your account for 14 days after it was created.

  5. Can I get a single report per day – which gives me all conference details that took place in a day?
    We do not email the reports out due to security reasons.

  6. What is start time? Is this start time when conference call starts or my first participants gets in the conference all?
    The Start Time refers to when the first person (subscriber or the participant) entered the Insta Conference.

6. Housekeeping

  1. How do I change my password?
    Click on the ‘Change Password’ field and follow instructions provided on the form.

  2. How do I reset my password, if I forget it?
    If you do not have the password that was provided to you when your account was created, please contact the TTL help desk.

  3. What is the help desk number?
    The help desk numbers are 121 / 1515, which is accessible from all Tata post-paid connections.

  4. How do I reset the Pin for a defined Insta Conference?
    Log in to your account. Edit the Insta Conference you want to change the PINs for. Click the "Reset PINs" button. A new set of PINs will be automatically assigned to your Insta Conference.
